If you’ve ever come back to your inbox after a few days away and felt instantly overwhelmed, this is the exact process I use to get back in control — in about 20 minutes.
It’s still school holidays here — just about — and I’ve been leaning into it this week. Slower mornings, a bit of sunshine, being Mum first and everything else second.
But today?
Back at the desk. Back in the inbox. Back to… the tidal wave. 🌊
And if you’ve ever opened your emails after a few days away, you’ll know the feeling.
So instead of diving straight in and reacting to everything, here’s what I do first.
It takes about 20 minutes… …but it saves hours later.
And if you’ve ever opened your emails after a few days away, you’ll know the feeling.
So instead of diving straight in and reacting to everything, here’s what I do first.
It takes about 20 minutes… …but it saves hours later.
I don’t open emails properly at this stage. Now I:
* skim subject lines
* archive anything irrelevant
* flag anything urgent
* ignore anything that can wait
This is about reducing noise, not doing the work yet.
* Delete obvious junk
* Unsubscribe from anything that slipped through
* Move newsletters/updates into folders
Inbox breathing space = instant clarity.
Only now do I:
* star / flag key emails
* mentally group what needs doing
* leave everything else alone
No replies yet. No deep work yet.
Now the inbox is:
* quieter
* clearer
* less overwhelming
And I can actually think about what I’m doing instead of reacting.
This whole process takes about 20 minutes.
But it stops that frantic, “where do I even start?” feeling… …and replaces it with a plan.
I do this every time I come back from time off — whether that’s a holiday, a long weekend, or just a sunny few days being Mum.
Because systems aren’t about being fancy. They’re about making everyday things easier.
If your inbox currently feels like a tidal wave, try this first before replying to anything.
You might be surprised how much calmer it feels.
(And yes… this is exactly the kind of thing I help people fix behind the scenes.) 😏
